What Makes Guests Say, "That Was the Best Event I've Ever Attended?"

We’ve all been to events that were perfectly nice. The food was good. The room looked great. The program went according to plan. Everyone seemed to have a good time.

And then there are the events people talk about for months afterward. Those are the weddings, galas, fundraisers, conferences, company parties and celebrations where guests walk out saying, “That was the best event I’ve ever attended.”

At The Venue at Lenoir City, we have the opportunity to see just about every kind of event imaginable; from weddings and milestone celebrations, to corporate meetings, nonprofit fundraisers, expos, holiday parties and community events. After hosting hundreds of them, one thing has become very clear: the most memorable events aren't necessarily the ones with the biggest budgets. They're the ones where someone has really thought about the guest experience.

So, what makes the difference between a good event and one people can't stop talking about?

1. Guests Feel Taken Care of From the Minute They Arrive
The guest experience starts long before dinner is served or the program begins.

Think about your event from the perspective of someone who has never been there before. Is it obvious where to park? Is the entrance easy to find? Does someone greet them or point them in the right direction? If there's registration or check-in, is it organized and adequately staffed? Once they're inside, do they know where they're supposed to go?

None of this is particularly exciting to plan, but it matters. Confusion, long lines and poor directions create frustration before the event has even started. A smooth arrival does just the opposite. Guests walk in, get comfortable and start enjoying themselves.

The best events make things easy for the guest.

2. The Room Creates an Immediate “Wow”
There is something to be said for walking into an event and immediately wanting to take a picture. But you don't need an enormous décor budget to make that happen.

A dramatic backdrop, beautiful linens, interesting centerpieces, great lighting, an unexpected tablescape or one really spectacular focal point can have far more impact than dozens of smaller details scattered around the room.

In fact, if the décor budget is limited, we'd rather see someone do a few things really well than try to decorate every square inch of the space. And never underestimate lighting. It is one of the easiest ways to completely change the look and feel of a room.

3. Give Guests Something They Weren't Expecting
Some of the most memorable events we've hosted have included an element guests simply weren't expecting.
Casino gaming at a company party. A surprise performance during a fundraiser. An interactive dessert station. A live artist. Fireworks. A unique photo experience. An unexpected late-night snack or giveaway.

It doesn't have to be expensive or elaborate. You're looking for that moment when guests turn to each other and say, “Oh, this is fun!” Those are the things people tend to talk about afterward.

4. Keep the Event Moving—but Don't Overschedule It
Great events have energy. There's a natural flow from one part of the event to the next, and guests aren't sitting around for long stretches wondering what's supposed to happen.

But there is a flip side to that. One of the mistakes we sometimes see is trying to cram too much into an event. Every minute doesn't need to be programmed. Guests need time to talk. They need time to eat. They need time to visit the bar, look at the silent auction, take pictures, catch up with friends or simply enjoy being there.

Sometimes the best thing you can add to an event timeline is a little breathing room. Keep things moving, but don't make your guests feel like they're following an itinerary.

5. Make the Food Part of the Experience
Guests may not remember exactly what color the napkins were, but you can bet they'll remember the food. And memorable food doesn't necessarily mean expensive food.

Presentation, variety and creativity can make relatively simple menu items feel special. Interactive stations, beautifully presented hors d'oeuvres, regional favorites, unexpected desserts and late-night snacks can all become part of the entertainment.

But there's another side to catering that doesn't get nearly as much attention: how the food is served. Sending an entire ballroom to a buffet at the same time is a pretty quick way to create a very long line. A captain's call or organized table release keeps the buffet moving, prevents overcrowding and lets guests spend their time eating and socializing instead of standing in line.

The same applies to keeping stations stocked and making sure food service happens when it's supposed to. Guests shouldn't have to think about the logistics behind the meal. They should just enjoy it.

6. Give Guests Something to Do
Today's guests don't necessarily want to sit at a table all evening and watch an event happen around them. They want to be part of it. Depending on the event, that might include:
  • Photo booths or interactive photo experiences
  • Casino games
  • Live entertainment
  • Silent or live auctions
  • Lawn games
  • Demonstrations
  • Interactive food stations
  • Contests or trivia
  • Dancing
  • Hands-on activities
  • Other unique entertainment experiences
You certainly don't need all of these. In fact, please don't try to do all of these! Choose one or two things that make sense for your event and your guests.

Interactive activities are especially helpful when you're bringing together people who don't know one another. Give two strangers something to do together and, suddenly, they have something to talk about.

7. Make It Personal
The best events don't feel like they could have been planned for just anyone.

For a wedding, that might mean incorporating a couple's story, family traditions, favorite foods or something meaningful from their relationship. For a nonprofit, it might mean finding a way for guests to actually experience or connect with the organization's mission instead of simply hearing about it from the stage. For a corporate event, it could mean celebrating employees, recognizing company milestones or incorporating pieces of the organization's culture.

Those personal details are what make an event feel genuine. And they're often what guests remember most.

8. Don't Forget About Comfort
Comfort isn't the glamorous part of event planning, but it has a huge impact on whether guests actually enjoy themselves.

People notice when they're too hot or too cold. They notice when they can't hear the speaker. They notice when tables are packed too tightly together, chairs are blocking walkways or they're constantly standing in line.

That's why a good floorplan isn't just about how many tables you can fit into a room.

We look at things like: How will guests move through the space? Where are lines likely to form? Can everyone see the stage? Can everyone hear? Is there enough room around the buffet? Where will people gather during transitions?
Sometimes taking out one or two tables or moving an activity to another part of the room can make an enormous difference. Good event design isn't just about how the room looks. It's about how the room works.

9. Guests Shouldn't See What's Happening Behind the Scenes
Here's something we wish more people understood about events: Even when an event appears to be going perfectly, there is usually a lot happening behind the scenes.

Someone is adjusting the room temperature. Someone is talking to the caterer. Someone is checking the timeline. Someone is helping the DJ or AV technician. Someone is cleaning up a spill before guests notice it. Someone is answering a vendor's question. Someone is finding an extension cord, moving a chair, dimming the lights, opening a door, directing a delivery or solving whatever unexpected issue just popped up.

That's normal. Events involve people, equipment, food, technology, vendors and hundreds of moving pieces. Something is almost always going to need attention. The difference at a well-run event is that the guests never know it.
When experienced venue staff, caterers, planners and vendors work well together, all of that behind-the-scenes activity becomes practically invisible. To the guest, everything just seems to work…exactly as it should be.

10. Create the Opportunity for a Great Moment
Think about some of the best events you've ever attended. Chances are, you don't remember every centerpiece, every menu item or every song. You remember a moment.

Maybe everyone was on the dance floor. Maybe the room erupted in applause. Maybe there was an incredible performance or a surprise announcement. Maybe something hilarious happened. Or maybe you simply looked around the room at some point and thought, “This is really special.”

You can't manufacture every memorable moment. But you can create opportunities for them to happen. Bring people together. Build a little anticipation. Give guests opportunities to participate. Throw in a surprise or two. Leave some breathing room in the schedule. And then let the event happen.

The Secret Isn't Perfection
Here's something else we've learned after hosting a lot of events: Guests have no idea what was supposed to happen.
They don't know dinner was supposed to start five minutes earlier. They don't know a vendor arrived late. They don't know you originally planned to have three more flowers in every centerpiece. They don't know someone was running around behind the scenes ten minutes ago fixing a problem. And they don't need to.

What they know is how the event felt. Did they feel welcome? Were they comfortable? Did they laugh? Did they have good food? Did they connect with other people? Did they experience something unexpected? Did they feel like they were part of something special? That's what they take home with them.

At The Venue at Lenoir City, we believe our job goes well beyond providing four walls, tables and chairs. A big part of what our team does happens behind the scenes, like thinking through logistics, helping clients avoid potential problems, coordinating with caterers and vendors, troubleshooting the unexpected and keeping an eye on all those little details guests never see.

Because when the lights come up and the last guests are heading out the door, one of the best compliments we can hear isn't, “That was a beautiful event.” It's, “That was the best event I've ever attended.” And more often than not, it's not one big thing that made them say it. It's a hundred little things that all came together.
